How to hire a dedicated offshore accountant: 7-step checklist

Vetting, trial, security, communication — the process that separates good hires from expensive mistakes.

Quick answer

The short version

Define the role in outcomes not tasks, vet the provider's QA process, interview the actual person (never just a sales rep), run a paid trial on real work, lock down data security before day one, and plan a 30-60-90 day onboarding. Most offshore failures are rushed onboarding and zero quality review — both are preventable.

Steps 1–2

Define the role, choose the model

Step 1 — Write outcomes, not tasks. "Reconcile all accounts by the 5th working day and deliver a variance-noted P&L" beats "do bookkeeping". Outcomes let you judge performance objectively; task lists invite box-ticking. Include the software (Xero? MYOB?), transaction volume, and which decisions stay with you (payments, write-offs, payroll approval).

Step 2 — Seat or package? A dedicated seat (one person, only your business) suits 20+ hours a week of ongoing work. A done-for-you package suits defined monthly outcomes with less volume. Don't buy a full-time seat for 10 hours of work a week — that's the most common overspend. Compare dedicated seats against fixed packages on your actual hours before deciding.

Steps 3–4

Vet the provider, interview the person

Step 3 — Interrogate the provider. The questions that matter: Who does quality review, and what are their credentials? Can I speak to two Australian clients? What happens when my person is on leave — is there backup, or does work stop? How is my data secured, specifically? What are the exit terms? A provider that squirms on any of these is telling you everything.

Step 4 — Interview the actual human. Never accept a hire you've only seen on a sales call. Video-interview the person who'll do your work. Test them practically: share your screen, walk through a messy bank rec, watch how they think. Judge communication as hard as technical skill — most offshore failures are communication failures, not accounting failures.

Steps 5–6

Trial on real work, lock down security

Step 5 — Paid trial, real work. One to two weeks of actual tasks: reconciliations, a month-end close, a report to you. Paid — free trials attract the wrong people and tell you nothing about professional standards. You're judging turnaround, communication quality, and whether they ask good questions, as much as accuracy.

Step 6 — Security before day one. Role-based Xero/MYOB access (never full admin unless the role needs it), MFA enforced on every login, no downloading client data to local machines, NDA signed, and a written process for revoking access the day someone leaves. Get the provider to describe their exact controls in writing. "We take security seriously" without specifics is a red flag.

Step 7

Onboard like it matters — because it does

Step 7 — Run a 30-60-90 plan. Days 1–30: shadowing, documented processes, small supervised tasks. Days 31–60: independent work with structured review. Days 61–90: full ownership with spot checks. Rushing onboarding is the single most common reason offshore hires fail — the person is usually fine; the ramp was fantasy.

Set the communication rhythm in week one: a short daily check-in for the first month, a weekly review after that, and one named contact on each side. Timezone overlap of 3–4 hours with AEST business hours is plenty for finance work — you don't need 9-to-5 synchronisation.

Red flags

Walk away when you see these

No interview with the actual person. No Australian client references. No named QA reviewer — "our team checks everything" without a name. Pricing far below market (someone is cutting something: vetting, QA, or security). Reluctance to do a paid trial. Vague answers on data security or leave cover. Long lock-in contracts. Any one of these is enough to keep looking.

FAQ

Hiring questions

How do I vet an offshore accountant before hiring?

Interview the actual person, test them on your software with a real task, check references from Australian clients, and confirm who does quality review. A paid trial week beats any number of promises.

What should an offshore accountant trial include?

One to two weeks of real work: reconciliations, a month-end task, reporting to you. Judge communication and turnaround as much as technical accuracy.

How do I keep financial data secure with offshore staff?

Role-based Xero/MYOB access with MFA, no local data downloads, signed NDAs, and access revoked the day someone leaves. Get the controls described in writing.

What are red flags when hiring offshore finance staff?

No interview with the actual person, no Australian references, no named QA reviewer, below-market pricing, no trial, vague security answers, and long lock-ins.

How long does onboarding take?

Plan 30-60-90 days: supervised tasks first, independent work with review next, full ownership last. Rushing this is the most common cause of failure.

We do the vetting for you.

Every FinanceDesk seat is interviewed, trial-tested, and reviewed monthly by a CA-track accountant. You interview the final candidate before they start.
